Privacy policy
How KB GOLD LAB uses personal data, in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Draft: this page is being finalised and will apply when ordering opens.
1. Who is responsible
KB GOLD LAB LTD is the controller of the personal data described here. Our contact details are shown at the end of this page.
2. What we collect
When you send an enquiry: your name, email address, research organisation, any notes you add and the products you select.
When you ask to be told about availability: your email address and the product.
When an order goes ahead: the delivery and invoicing details you give us and the payment status. We never see full card details; card payments are handled by the payment provider.
When you check a seal, look up a LOT number or check your order: the seal identifier and the result, the number searched, or the reference and email address you enter, used only for that check. We do not link seal and LOT checks to you.
To protect our forms from abuse: a one-way code derived from your IP address, which cannot be turned back into the address, and the security check described below.
When you sign up for our news: your email address, the date and way you signed up and the date you confirmed it, kept as proof of your consent.
3. Why we use it
To answer enquiries, prepare quotations and fulfil orders: steps taken at your request before a contract, and performance of the contract.
To keep accounting and tax records: a legal obligation.
To keep the website and its forms secure and prevent misuse: our legitimate interests.
With your consent, given by confirming your sign-up, we email you news about new products and offers. You can withdraw it at any time with the unsubscribe link in every email. We do not use your data for any other marketing, and we never sell it.
4. Who we share it with
Cloudflare, Inc., which hosts this website, its database and files and runs the security check on our forms (Cloudflare Turnstile); payment providers when you pay by card; delivery companies, which receive your delivery details; and professional advisers or authorities where the law requires it. Our providers act on our instructions.
5. International transfers
Some providers, such as Cloudflare, may process data outside the United Kingdom. Where they do, the transfer is covered by UK adequacy regulations or by the UK International Data Transfer Agreement or Addendum.
6. How long we keep it
Enquiries that do not lead to an order: 24 months. Orders: seven years after the order, which covers the six years after the end of the financial year that tax records require. Availability requests: 30 days after we have told you, and at most 12 months. Newsletter: as long as you are subscribed; unconfirmed sign-ups and unsubscribed addresses are erased after 30 days. After that, your name, email address, organisation and notes are erased automatically; only the anonymous record of the products remains.
7. Your rights
You can ask for a copy of your data and ask us to correct it, erase it, restrict or object to its use, or transfer it. Contact us using the details below; we reply within one month. Order records that tax law requires us to keep are erased when that period ends. You can also complain to the Information Commissioner’s Office (ico.org.uk), although we would appreciate the chance to resolve your concern first.
8. Cookies and browser storage
This website does not use advertising or tracking cookies. Your enquiry bag is kept in your browser’s session storage until you close the tab. The security check on our forms is provided by Cloudflare Turnstile; Cloudflare explains how it processes data in its own privacy policy.
9. Changes to this policy
We may update this policy. The date of the current version is shown below.
